Race entry fees are non-refundable and non-transferable. However, we are athletes ourselves and know things come up. Injuries, illness, pregnancy, work, family issues, etc. We have the following policies in place to give you, the athlete, as much flexibility as possible within a framework that allows us to continue putting on high quality races. Please understand that once online registration closes, all registrations are locked in as we have finalized orders for shirts, awards, medals, food, and dozens of other items. The options you have are set forth below.
RACE INSURANCE – Race insurance is available for all of our events and must be purchased by the athlete when you register online, it cannot be purchased at a later date. The cost is a fixed 7.5% of the registration fee with a $8.99 minimum. Full details on how to redeem the registration insurance can be found HERE. Again, this must be purchased at the time of registration.
DEFERRALS – Any participant who cannot compete in the event for ANY reason has the option of a one time deferment of their registration into the following years race. The deferral request must be made from within the athletes profile and must be done prior to online registration closing, typically at 8:00 PM the Tuesday prior to the race. There is a $20 fee to defer your event to the following year. If this event is unavailable in the following year, the athlete will be given a credit to use at another event.
SWITCHING EVENTS – You may switch events/distances in the same weekend at the same race site at no cost to the athlete other than the difference in registration fee for that event. There are no refunds for going down in distance/price. For many athletes, the Aquabike or starting a relay team are good options if you are injured. This must be accomplished before online registration closes.
TRANSFERS – We do not allow transfers to any other race or person for any reason! Penalties for picking up your race packet and allowing someone else to use it are a one year suspension by USAT and the potential for being sued by your friend if they get hurt in the event.
INCLEMENT WEATHER – In the event of inclement the following procedure will be followed: The event will be postponed for 30-45 minutes in hopes the inclement weather will pass. If the inclement weather does not pass within this time frame, the event will be changed to a duathlon format. Every effort will be made to have this event on time on this date. If conditions are deemed to be unsafe, versus just challenging, we will cancel the event. Every situation is different, but know that we plan our events to go on rain or shine. If it is just raining, we will race.
ATHLETE NOTIFICATION – If there is impending inclement weather (hurricane, thunderstorms, etc), we will make periodic updates on our Facebook page. You don’t have to have a Facebook account, you can just go to the race page and view the Facebook feed on the left hand side of the page. If we need to cancel the event, we will give as much notice to the athletes as we possibly can.
EVENT CANCELLATION – Should this event be cancelled due to an Act of God or circumstances beyond the control of the event we will give athletes a credit good for 50% of your registration fee for any race produced by our team in the following year. So, if you paid $120 to race, you will receive a coupon good for $60 off any race that we do.

Awards will go 3 Deep (Male and Female) in the following groups: Overall, Overall Masters (40+), Age Group, 15 & Under, 16-19, 20-24…85+, Aquabike, Duathlon (if offered), Athena, Clydesdale, Master Clydesdale, Military, Novice, Relay Teams (Male, Female, Mixed).
